Charge

The MSSU Co-Curricular Assessment Committee exists for the purpose of sustaining a comprehensive assessment program for all its units, and will focus on matters relating to the assessment of programmatic and student learning outcomes in the Division of Student Affairs in an effort to promote a culture of continuous improvement within Student Affairs. The committee shall carry out its defined functions and responsibilities as described in this document.

Membership

The committee will maintain a representative cross-section of Student Affairs (SA) employees (6), two liaisons from the Assessment Advisory Committee (1 faculty, 1 staff), representatives from the Office of Institutional Effectiveness, and a representative from the Student Affairs Cabinet.

Terms of Members

Each member is limited to a 3-year term (Revised 12/2018). If the member serves as Chair-Elect, they may serve additional terms as necessary to fulfill their obligation. The life cycle of the committee should always be considered. In the early years, all committee members will be new; however, in the future there will be opportunities for past members to be included, which will help maintain continuity and experience level of the committee over time. Some charter members may be expected to serve a longer term than two years in order to maintain continuity.

Responsibilities of the Chair

• Chair selected each year by committee (revised 12/2018)
• Advisory to the VPSA and Cabinet
• Prepare annual report/highlight for Student Affairs that includes summary of all assessment activities conducted throughout the year by committee. Submit by July 1, of each year.
• Work directly with Institutional Effectiveness members to facilitate committee meetings and ensure the committee effectively fulfills its charge.

Responsibilities of the Office of Institutional Effectiveness

• Provide meeting minutes to VPSA and committee members.
• Coordinate scheduling of meetings, sending out agendas and documents ahead of time, and recording meeting activities.
• Provide access to web-based assessment tracking system.

Reporting Structure

The MSSU Co-Curricular Assessment Committee reports to and receives direction from the Vice President for Student Affairs Cabinet (VPSA, Dean of Students, Dean of Student Success). Faculty and staff representatives from the MSSU Assessment Advisory Council will also provide direction and assistance related to the assessment process.

Functions and Responsibilities

1. Provide leadership and support to assessment initiatives and assist SA departments in gaining a greater understanding of effective assessment practices.
   • Consult with departments on assessment projects, annual plans, and reports.
   • Provide feedback to departments to enable continued improvement in the undertaking of quality assessment.
   • Annually review the divisional assessment process to improve and strengthen the departments' capabilities to undertake assessment.
   • Provide structured assessment training to incoming committee members as needed.
2. Provide professional development opportunities related to assessment and program evaluation.
   • Determine type, level, and frequency of training for SA staff.
3. Facilitate communication and alignment of divisional and department assessment and evaluation efforts through SA and across the University.
   • Maintain a calendar to coordinate and streamline assessment projects.
   • Provide regular updates to departments regarding timelines.
   • Facilitate sharing of assessment strategies and ways to improve student learning.
   • Provide multi-directional communication to key stakeholders of efforts through the following:
     • Co-Curricular Assessment Committee members.
     • Co-Curricular Assessment Committee meeting minutes.
     • Department Highlights reports.
     • Assessment updates.
     • Communication amongst other assessment committees on-campus. (i.e., IAC)
   • Conduct update/brainstorming meeting once a semester to directors, assessment contacts in each department, and other interested parties.
   • Progress made and future initiatives from committee members.
4. Complete annual assessment reviews (student learning outcomes) on a rotating cycle in accordance with the MSSU assessment plan.
5. Assist with other initiatives involved in the assessment of student learning as request by the VPSA, University Senate, or other stakeholders, as necessary.
